🎥 Setting up Your Email Notifications

You can automatically email your users when something interesting happens on Cheqroom. More visibility and communication. Less manual work.

This feature is available with every subscription plans on Cheqroom

Email notifications are a great way to notify your administrators or users that something interesting happened in Cheqroom.

Create a New Notification

  • Go to your Settings and select Notifications.

  • Click New notification.

  • Choose a Trigger.

Choose a Trigger

A trigger is an event that initiates the notification. Once the notification is active, Cheqroom will monitor for that trigger event and send out the email when it happens.

RESERVATIONS

  • New reservation

  • Canceled reservation

  • Reservation due

  • Reservation overdue

  • Reservation PDF generated

  • Added Reservation Comment

  • Closed Reservation

CHECK-OUTS

  • New check-out

  • Check-in

  • Check-out due

  • Check-out overdue

  • Undo check-out

  • Extend check-out

  • Check-out PDF generated

  • Added Check-out Comment

ITEMS

  • Set Flag

  • Clear Flag

  • Item expired

  • Item unexpired

  • Change Location

  • Added Item Comment

  • Take custody

  • Release custody

  • Transfer custody

  • Warranty expiring

USERS

  • New user

  • User PDF generated

  • Added User Comment

  • Blocked User

  • Unblocked Users

Configuring the trigger

  • Give this trigger a unique name.

  • Choose when it should be triggered (only for due/overdue notifications).

💡 Already existing overdue reservations and check-outs will not trigger the notification unless they fit the time frame.

  • Select for which locations the notification should trigger (only applicable when having multiple locations)

  • Choose Email

Write your message

You can either write static messages (always the same email) or use the dynamic fields from the Fields Picker to make your email relevant to the actual event it was triggered for.

  • Fill in the To field with a static email address (e.g. equipment-admin@yourdomain.com) or use a dynamic field.

  • (e.g. email it to the Contact of the Check-out with  {{contact.email}} ). Use a comma in between email addresses, if you'd like it to be sent to several recipients.

  • Enter an Email subject

  • Write the Email body and add extra fields by clicking on the dropdown list icon on the right side

💡Tip: Have your Opening Hours set up in your account? Update your users on changes in the opening or closing hours by adding them to your notifications as well. Just click on the dropdown list and search for 'opening hours'. 

Preview your email

  • Check if everything looks okay

  • You can still go back to make changes

  • Click Add when you're done

You're done!
