Email notifications are a great way to notify your administrators or your Contacts that something interesting happened in CHEQROOM.

Creating a new notification

  • Click Settings, next click Notifications
  • Click New notification

Choosing a trigger

Reservations

  • New reservation
  • Cancelled reservation
  • Reservation due
  • Reservation overdue
  • Reservation PDF generated
  • Added Reservation Comment
  • Closed Reservation

Check-out

  • New check-out
  • Check in
  • Check-out due
  • Check-out overdue
  • Undo check-out
  • Extend check-out
  • Check-out PDF generated
  • Added Check-out Comment

Contact

  • New contact
  • Contact PDF generated
  • Added Contact Comment
  • Blocked Contact
  • Unblocked Contacts

Item

  • Set Flag
  • Clear Flag

Configuring the trigger

  • Give this trigger a unique name
  • Choose when it should trigger (only  due / overdue)
  • Choose Email

Write your message

You can either write static messages (always the same email) or you can use the dynamic fields from the Fields Picker to make your email super relevant to the actual Check-out it was triggered for.

  • Fill in the To field with a static email address (e.g. equipment-admin@yourdomain.com) or use a dynamic field. (e.g. email it to the Contact of the Check-out with  {{contact.email}} ). Use a semi-colon ; in between emails, if you'd like it to be sent to several recipients.
  • Enter an Email subject
  • Write the Email body and add extra fields by clicking on the dropdown list icon

Preview your email

  • Check if everything looks okay
  • You can still go back to make changes
  • Click Add when you're done
