From manual entry to bulk uploads, Cheqroom offers flexible ways to add your inventory, ensuring your workspace is tailored to your equipment management needs.
Adding Items Manually
If you have a few Items to add, you can input them individually. Here’s how:
Click on Items on the left-hand menu.
Click on New Item on the top-right.
Fill in the necessary fields. By default, "Name" is the only required field, but please ensure that all required fields are entered, as there may be custom ones. If you enter the "Brand" and "Model" fields, the name will auto-populate with those two fields. If you have bulk items, please make sure to select "As a bulk item" as well as setting the quantity correctly.
Optional: If you select "Auto-number items," and enter a quantity greater than one, you can enter multiple of the same item at the same time. They would be named as "Camera 001," "Camera 002," and "Camera 003" if you enter three cameras, and they would share the same properties entered in the item details fields.
Click "Add," or "Add another" on the top-right to save your Item.
Notes: Adding Items manually is ideal for small inventories or individual Items. It allows you to enter and review each piece of information carefully.
Duplicating Items
If an Item has already been added, but you now need one or more copies of the same Item, you can use the duplication feature:
Click on Items on the left-hand menu.
Hover over the Item you want to duplicate and click on Actions.
Click on Duplicate item…
Select how many times you wish to duplicate the Item, the location they’ll be added to, and how to auto-number the new Items.
Click Duplicate item again to save the duplicates.
Notes: By duplicating Items, you can quickly expand your inventory without manually entering all the information again, saving time and reducing errors.
Importing Items with a Spreadsheet (.csv)
For large inventories, importing via spreadsheet is a huge timesaver. Follow these steps to ensure a smooth import process:
Note: The only format accepted for a spreadsheet is .csv.
Prepare your Spreadsheet
You can download our template spreadsheet here and make the necessary changes.
You can also create a .csv spreadsheet with columns for each field you want to import.
Recommended fields:
Name (required, at least 3 characters)
Brand
Model
Purchase Price
Purchase Date (formatted like 09/23/2016)
Barcode (4-24 alphanumeric characters)
Category (e.g., Recording equipment/Microphones) - must be added previously to Cheqroom.
Flag (at least 2 characters)
Kit Name (at least 3 characters)
Custom Fields also must have been added previously to your Cheqroom workspace.
Import the Spreadsheet
Log in to your Cheqroom account.
Click on Items on the left-hand menu.
Click on Import on the top-right.
Drag your spreadsheet file or click the Upload file and select your file, then click Next step on the top-right.
Map the fields on the spreadsheet to the ones in your Cheqroom workspace (with Name being the only required one), and click Next step at the top right.
Review the import preview, and click Start import.
Notes: If you encounter any errors during the last step of the import, read the error or warning messages carefully, and see if there’s anything you can change or fix in your spreadsheet. You can also find more help in our Troubleshooting Item Import guide.
