Consumable items are supplies or materials that get used up over time, like batteries, paper goods, or filters. Consumables are a type of bulk item that is not expected to return on check in. When an item is marked as consumable, a user can indicate how many items were used during their check out and automatically reduce the overall quantity of that bulk item. Here's how to effectively manage consumables items in Cheqroom.
💡 Only bulk items can be considered consumable
What are Consumable Items?
Consumable items are assets that:
Get depleted or used up during normal use
Need regular replenishment
Can be tracked in bulk quantities
Some examples of consumable items you may want to consider tracking in Cheqroom:
Paper goods that are used during a check out
Disposable packing supplies
Swag items or samples handed out at events
Filters
Masks, gloves, and other protective gear
Setting Up Consumable Items
You can mark an item as consumable by editing an individual item, or through the item importer.
Editing a single item:
Navigate to a bulk item's details page
Click on "Edit"
Enable the "Allow for Consumable" toggle
Set the initial quantity
Save your changes
Using Item Importer, use the following column configuration to import consumable items
Set Kind-> Bulk
Set Consumable -> True
Set Quantity -> Amount
How to Check In Consumable Items
Consumable items are checked out like any other bulk item in Cheqroom. To properly account for any quantity used up during that check-out, a use can mark a quantity of the item as consumed during check in.
Navigate to the Check In screen for your active reservation
Locate the consumable item(s) in your check-in list
Use the three dot menu to mark a quantity as consumed.
If all items were used, enter the full checked out amount
If only some items were used, enter the used quantity.
Any remaining items can be checked-in
Add any relevant comments about usage or condition
Complete the check-in process by clicking "Check In"
The system will automatically update item quantity based on the amount consumed entered during check-in. For example, 20 T-Shirts were checked-out to hand out at an event, but only 15 were given away. On check in, mark 15 T-shirts as consumed, and the remaining 5 should be checked in. The total quantity of T-shirts in inventory will be reduced by 15. See the item history for information on who consumed the item and the amount that was deducted for the overall quantity.
