What is a Quick Check-in?

Checking in multiple items at the same time? Quick check-in is a new feature that allows you to rapidly complete multiple check-ins in one single session. Start by scanning an item's code and let Cheqroom find the associated check-out. When you scan items from multiple check-outs, separate sections are created allowing you to process multiple checkins at the same time.

Quick Check-in also allows you to complete a partial check-in if not all items are to be returned at the same time.

Note: This feature is only available on desktop as of December, 2024


How do you use it?

  1. Select “Check-in” from the Quick Actions icon in the header from any page, or select “Check-in” from the Check-outs page


2. Scan an item, or enter its code


3. When the item is scanned or the code is entered, the associated check-out will automatically populate for easy tracking. You can scan all items that are part of each check-out, or click on them to manually add them as being part of the check-in. Scanning items in an additional check-out will automatically add that checkout.

The example below has two separate check-outs being processed at the same time.


4. When you have finished scanning all items, click "Check in # items" in the bottom right corner. Note that each check-out will show you the number of scanned items, and will display a green checkmark when all checked-out items are scanned.


Note: You can complete a partial check in by selecting the “Check in # of items” button even if there are outstanding items in the check out

FAQ

Can I check in some items from check out?

Yes! Checking in some, but not all, items from a check-out is considered a partial check in. If you check in some items from a check-out, the check-out will remain open until all items are checked in or the check-out is manually closed. To partially check in items, simply select the “Check in # of items” button when you are finished scanning.

Do I need to worry about the order in which items are scanned?

No! You can scan items from any reservations, in any order. Cheqroom will keep track of which items are associated with each check-out automatically.

What happens if I scan an item not associated with any check-out?

Items not associated with any check out will appear in an “Unexpected Items” category. These items cannot be checked in, as they were not checked out. Consider this a helpful flag to identify items that may have been improperly checked out, or with general inventory management.

Can I manually select items?

Yes. If you wish to check in an item without scanning, you can select the check box in the check out detail. This may be helpful to check in bulk items that do not have an individual bar code.

Can I manually enter a QR or bar code?

Yes. From any check in screen, you can use a scanner or manually enter a bar code or QR code.

What if I scan an item that is part of multiple check-outs?

If an item is part of multiple active check-outs, Cheqroom will show all possible check-outs and ask you to select the correct record. If you continue to scan items associated with just one check-out, Cheqroom will intelligently associate the item to the correct check out.

For example: I scan “Cannon Cables” which are part of multiple, active check-outs. When scanned, I see a message that the item cannot automatically be associated with a check-out.

From here, I have two options.

  1. I can select the action menu, and manually associate the item with a check out.

  2. I can continue scanning items. If I scan an additional item associated with a check-out that the cable belongs to, Cheqroom will associate the cable with that check out. Here, I scanned the Cannon EOS 1000D camera, so the Cannon Cables were automatically associated with the check-out “Photo shoot at 10th St”.
