How to change accounts or invite someone who is already part of another account?

The first thing you need to know is that in Cheqroom, one email address can only be attached to one user. This means that if someone wants to join two separate accounts, they'll have to use two different email addresses.

Does your organization often have users that need access to multiple Cheqroom accounts? It might be worth checking if workspaces could be a solution to your needs.

Workspaces allows you to connect multiple independent accounts to one larger organizations. A user can be part of multiple workspaces with the same email address.

You want to invite someone, their email address is already used in another account but you would like to keep their information in the old account?

You will need to remove the user from the first account to be able to add them to the new Cheqroom account.

If you want to keep the data of the user in the first account. You can archive the user in the first account, you will also need to update their email address to make sure you can add a new user with that email address.

Go to Contacts

  • Search for the Contact you'd like to archive

  • Click Actions

  • Choose Archive

  • Update the email address of the archived user (eg to a false email address)

  • The user can now be invited to the other account and will no longer have access to the old account

You want to invite someone but their email address is already used in another account and you want to remove all data for that user in the old account?

If you want to remove all data for a user, instead of archiving the user you can delete it. This will remove all the data of this user in Cheqroom.

Go to Contacts

  • Search for the Contact you'd like to archive

  • Click Actions

  • Choose Delete

  • The user can now be invited to the new account and will no longer have access to the old account

You can't delete users with an open reservation or check-out, or users that have custody over items.
