Great job! You've added all of your inventory to your Cheqroom account (and we know it was a big job πŸŽ‰). The next step is learning how to use them in bookings for yourself or others in your team or organization.

First, what's the difference between a Reservation, a Check-out and Custody?

Reservations

A reservation is when you set aside items of equipment in advance. Think of it like your cart when you're online shopping. You reserve items in the same way by placing items that are of interest to you aside for a specific marked date. Making reservations ensures the right equipment is available for you and your team when you need it.

Learn more about how to make a reservation here.

Note: Reservations aren't available in the Essentials Plan.

Check-outs

A check-out is when an item has been physically taken or picked-up and is due back by a certain date and time.

You can create a check-out by following these steps,.

*Tip: If you don't think you and your team will be using the check-out module, you can turn it off in your Settings and use Close Reservation instead.

Note: Check-outs aren't available in the Essentials Plan.

Custody

Item custody is a check-out without a specified due date. It keeps track of the items of equipment that were borrowed and who they were loaned to without having to select a return date or location. It’s ideal for when you’re lending out equipment for a really short or really long duration.

Still not sure which one to use for a certain booking? Perhaps this can help. 😊

Marking Equipment As Fully Or Partially Unavailable

Not all of your equipment needs to available for bookings. Mark your equipment as unavailable or partially unavailable when you want to take an item out of circulation for a period of time. Say someone flagged an item as Needs Repair and you want to bring it to the maintenance team, you can mark that item as unavailable until it's ready.
